Quick start
- In your OneDrive file view, right-click the file you want to share.
- Choose Share from the pop-up menu.
- Enter the name of the person you want to share with.
- Un-tick the ‘require sign-in’ checkbox.
- Click Share.

Sharing OneDrive files, SharePoint files, or Lists with external users (guests) allows you to securely collaborate with people outside your organization such as your business partners, vendors, clients, or customers — with or without a Microsoft account.
Use the Specific people setting to share your documents outside your organization and keep them secure.
- Select Share.
- Select Link settings.
- Choose Specific people.
- Decide if you want to Allow editing.
- Select Apply.
- Add names or email addresses for who you want to share with.
- Select Send.
Share documents, files, and folders with any user via an anonymous link. Go to your SharePoint admin center, and in the left pane under Sites select Active sites. Select the proper site, and then click Sharing. Select the Anyone option, and select Save.
Go to OneDrive admin center.
- Select the file or folder you would like to share.
- Click on the drop down and choose anyone, people in your organization or specific people whom you would like to share the document or folder.
- Enter the name or email address of the person you would like to share the document or folder.
On the OneDrive for Business – Documents page, select next to the file or folder you want to share, and then select SHARE. 2. In the left pane of the Share dialog box, select the Sharing icon associated with the file or folder. The Share dialog box now shows a list of people you’re sharing the file or folder with.
From the App launcher, select OneDrive. In OneDrive, team members can store their own business-related files. You can share either individual files, or a whole folder. Pick a file or folder, right-click, and then choose Share.
Other share options
- Next to the file tap More options. > Copy link. This lets you share a link outside of Teams. Or.
- Tap More options. > Send a copy. This will download a copy of the file to your phone. You can then choose how you want to share it.
Can you link Microsoft teams to OneDrive?
Open Teams and the team you wish to sync, pick your favorite channel, and hit the Files tab. If you only want to sync files from the current channel, feel free to hit the Sync button. To choose from the entire team (all channels), instead choose Open in SharePoint.
When to use Teams
SharePoint is the file tool behind a Team and channel; OneDrive is what’s used when you share files in a private chat.When you’re sharing files in private chat, the files are actually uploaded and shared from the sender’s OneDrive. You’ll find a Microsoft Teams Chat Files folder in your OneDrive.
Microsoft Teams is the hub for teamwork. It allows for collaboration, chat, calls, meetings, and so much more! SharePoint Online is primarily a document management and intranet platform where you store, collaborate, and share information seamlessly across the organization, and is also part of Microsoft 365.
OneDrive is essentially an online folder system for file storage, but SharePoint includes many other features such as collaboration, CMS, and dashboards. Microsoft 365 now includes SharePoint features in its cloud platform, but you can also purchase SharePoint by itself as an on-premise solution.
OneDrive provides a consistent, intuitive files experience across all your devices, including web, mobile, and the desktop of your Windows PC or Mac. Behind the scenes, SharePoint in Microsoft 365 provides the content services for all files in Microsoft 365, including files you work with in Teams, Yammer, and Outlook.
When should I use OneDrive vs team?
You should use OneDrive for Business to store personal files related to work or for saving unfinished drafts. When you have a file that is ready to be shared to your team for input, you can then upload it to your Microsoft Teams channel which automatically stores it in your team’s SharePoint library.
Is OneDrive or Dropbox better?
For basic cloud storage and file sharing, OneDrive features can be enough for some users. But when it comes to creating content, especially with a team, Dropbox is simply more versatile. Plus, Dropbox makes it easy to work with hundreds of file types—even the rich media and large files that OneDrive doesn’t support.
Therefore, we’ve made the difficult decision to discontinue the SharePoint Online Public Website feature so that we can focus our efforts and investments on delivering capabilities in Office 365 that will bring more value to our customers.
SharePoint is replaced by Microsoft Teams – the purpose of both the products are different.
OneDrive for Business uses SharePoint technology, but is better suited for storage and one-off sharing. Both of these components live in the cloud (it is Office 365, after all) and can sync files to your device so you can work anywhere.
