How to see who viewed a document in SharePoint?
- Go to Site Settings >> Click on “Manage Site Features” under Site Actions.
- Activate the “SharePoint Viewers” feature.
Change the default view
- In the command bar of your list, select View options .
- Select the name of the view that you want to make the default.
- Select View options again, and then select Edit current view.
- On the Edit View page, select the Make this the default view check box and then OK.
You can create custom views of a document library to display items in a way that makes sense for you. For example, you can select the columns you want to display and arrange them in the order you want. You can also sort, filter, or group items to create a view that suits your needs.
To access it, click Gear Icon > Site Contents, then choose Site usage link. Once you click on the Site Usage, you will see all sorts of cool metrics about a site, like the number of recent site visits, number new items added, as well as trending content (most popular content).
In Classic experience, you can make a personal view to public as:
- Create a new view >> Select your existing private view that you want to make public.
- You’ll see the “Create a Public View” option will be grayed out.
- Select the “Create a Public View” radio button input control and remove the “Disabled” attribute from it.
Here’s how you share files or folders in SharePoint:
- Select the file or folder you want to share, and then select Share.
- (Optional) Select the dropdown list to change the type of link.
- Enter the names of the people you want to share with and a message, if you want.
- When you’re ready to send the link, select Send.
How to share a Custom List
- Click the Share button in the ribbon above the list.
- Specify the recipient’s email, permission level you would like them to have (Full, Edit, or View). Click Grant access.
Scroll down and, in the category where it says “Choose the permission that’s selected by default for sharing links”, click on “view” — this will change the share setting to view. Then underneath “These links can give these permissions” change the file view and edit selection to just edit. Then click save.
Gear Icon > Library Settings
- Gear Icon > Library Settings.
- At the bottom of the screen under Views, click Create view.
- Choose a standard view.
- Navigate down to Group By Section.
- Choose 1 or 2 grouping fields.
- Click OK. You will now end up with a grouped view, similar to the one below.
Create a view
Click on the heading of the column you wish to filter by and choose Filter from the menu options. In the filter pane which opens on the right side of the page, choose the column value(s) by which you wish to filter the list. When you are finished, click the Apply button.
Hide with permissions
- Click on the ellipsis for the item you want to set permission on and select ‘Share’.
- Click ‘Shared with’ and then ‘ADVANCED’.
- Click on the ‘Stop Inheriting Permissions’ button in the ribbon.
- Select all the existing permission groups and click on the ‘Remove User Permissions’ button in the ribbon.
SharePoint has functionality to track who is doing what in the whole site collection. For example: User A is editing documents, User B is downloading some documents and User C is just viewing the content without touching them. This functionality is called Audit Log Reporting.

When you click the view in the list or library look at the URL. With a personal view you will find the URL looks something like: Site/Lists/ListName/PersonalViews.
